Kryvox ("we", "our", "us") operates the Kryvox flight school management platform. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform.
1. Information We Collect
Account Information
When you create an account or your organization registers you, we collect:
- Full name, email address, phone number
- Role and organization affiliation
- Profile information provided by your flight school
Operational Data
When your flight school uses Kryvox, the platform processes:
- Flight scheduling and dispatch records
- Training records and progress data
- Aircraft maintenance records (AMO/CAMO)
- Document uploads and digital signatures
- Financial and billing data
- Compliance and regulatory reports
Wellness Data (Pilot App Only)
If you use Kryvox Pilot wellness features, we collect:
- Pre-flight and post-flight wellness check responses
- Cognitive training scores and patterns
- AI coaching conversation history
- Self-reported mood, energy, and stress levels
Wellness data is encrypted at rest and in transit. It is NEVER shared with your flight school, employer, airline, regulator, or any third party.
2. How We Use Your Information
- Provide and maintain the Kryvox platform
- Process flight scheduling, dispatch, and training records
- Generate compliance reports required by aviation authorities
- Power AI features (maintenance analysis, study companion, coaching)
- Send you important service notifications
- Improve our platform based on usage patterns
3. Data Separation
Kryvox maintains strict data separation between categories:
- Training data (flight hours, progress, certifications) is visible to your school and may be shared with regulators as required by law
- Wellness data (mental health, coaching, cognitive scores) is locked to your personal account and cannot be accessed by your school, employer, or regulator
- Organization data is isolated per-tenant. No organization can see another organization's data
4. Data Security
- All data encrypted in transit (TLS 1.3)
- All data encrypted at rest (AES-256)
- Row-Level Security (RLS) enforced on all 250+ database tables
- Role-based access control across all 7 portals
- Multi-tenant isolation at the database level
- Regular security audits and penetration testing
5. Data Retention
We retain your data for as long as your account or organization account is active. Aviation training records are retained as required by applicable aviation regulations (CAAP, NZ CAA, DGCA). You may request deletion of your personal data at any time, subject to regulatory retention requirements.
6. Third-Party Services
Kryvox uses the following third-party services:
- Supabase — Database hosting and authentication
- Netlify — Application hosting and form processing
- Anthropic (Claude) — AI features (study companion, coaching, maintenance analysis)
We do not sell your data to any third party. AI training data is processed in accordance with our AI provider's data usage policies and is not used to train general-purpose AI models.
7. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access your personal data
- Correct inaccurate data
- Request deletion of your data
- Export your data in a portable format
- Withdraw consent for wellness data collection
8. Children's Privacy
Kryvox is not intended for use by individuals under 16 years of age. We do not knowingly collect personal information from children under 16.

For users in the Philippines, Kryvox complies with the Data Privacy Act of 2012 (Republic Act No. 10173). Your data is processed lawfully, fairly, and transparently. You have the right to be informed, to object, to access, to rectify, to erasure, and to data portability as provided under the Act.
